Annual Administrative Fee – Effective February 1, 2026
At Coastal Pediatrics, our mission has always been to provide exceptional, compassionate care while maintaining the independence that allows us to serve families personally and attentively.
Why We Are Introducing an Administrative Fee
The healthcare landscape has become increasingly challenging for independent pediatric practices. Over the years, administrative responsibilities and costs have grown significantly, while insurance reimbursements have not kept pace. Many essential services our team provides every day—such as coordinating referrals, completing school and sports forms, processing medication authorizations, and assisting families by phone—are considered non-covered services by insurance companies.
Historically, we have absorbed these costs so families were not burdened with individual charges. To continue offering the level of service and responsiveness our patients expect, we are introducing an Annual Administrative Fee.
This fee allows us to remain independent and continue providing high-quality pediatric care that reflects our values.
What the Annual Administrative Fee Covers
The Annual Administrative Fee is not a concierge fee and does not cover medical services. Instead, it applies exclusively to administrative services and covers all requests for a 12-month period.
Services covered include, but are not limited to:
- Completing forms for school, child care, camps, and sports
- Preparing customized letters for advocacy (school, insurance, etc.)
- Completing medication and immunization forms
- Writing notes for missed school days
- Sending medical records to specialists or other requested entities
- Prior authorization requests and appeals
- Prescription refill requests that do not require an appointment
Families who choose not to pay the Annual Administrative Fee will be charged individually for many of these services.
Fee Structure
The Annual Administrative Fee is non-refundable, begins on February 1, 2026, and will automatically renew annually on February 1.
Annual Fee Amounts:
- Families with one child: $75 per year
- Families with two children: $120 per year
- Families with three or more children: $150 per year
New families will receive a discounted, prorated fee based on their start date.
